Privacy Policy

This policy explains how ClassVRoom (Ateo GmbH, Zürich) processes personal data on the website www.classvroom.net, in the ClassVRoom web app and in the classroom application (browser and VR headset).

2. What we process and why

2.1 Account

When you create an account we store your email address, your name, your interface language, the time you accepted these terms and the privacy policy, and the organization your account belongs to (for institutions: the one that invited you). We need this to run your account, to sign you in and to send you emails about it (confirmation, password, invitations). Legal basis: performance of the contract.

2.2 Lessons: your voice

During a lesson your microphone audio is transmitted in real time to our service provider ElevenLabs Inc. (USA) for speech recognition, for the responses of the AI pupils and for speech synthesis. ElevenLabs may in turn use large language model providers for the pupils' responses. The audio is processed to provide the lesson and is not kept by us as a recording. Legal basis: your consent, given when you start a lesson; you can refuse by not starting a lesson.

2.3 Lessons: transcripts and reviews

What you and the AI pupils say is stored as a written transcript, together with the automatic review of the lesson (summary, level, suggestions). The review is written by a language model of Anthropic PBC (USA), which receives the transcript for this. You and the administrators of your organization can read them in the web app. We need this to show you your lessons and your progress, and institutions use it to supervise teacher training. Legal basis: performance of the contract and, for institutions, their legitimate interest in training supervision.

2.4 Usage and billing

We record start, end and duration of lessons and the resources they consumed, per account and organization, to run the free trial and paid plans and to invoice organizations. If you buy a plan, payment is handled by our payment provider; we never see your full card details.

2.5 Product statistics

To improve ClassVRoom we record individual steps in the app for your account: whether the microphone check succeeds (on failure, the kind of failure), whether you finish or skip the tutorial, whether the microphone fails during a lesson, whether you open the scenario writing assistant and whether you start a purchase. Help searches that find nothing are stored without reference to a person. Only we analyse this data, it is not passed to third parties and is deleted with your account.

2.6 Technical data and logs

The classroom application sends technical diagnostics to our servers so that we can find and fix errors: error messages, timing, browser type, the sentences of the lesson recognised by speech recognition, and the texts the AI services receive and return for the lesson (no audio). They are deleted after 14 days. Our hosting providers record access logs including IP addresses for security.

2.7 Website and contact form

The website uses Google Firebase Analytics (anonymised usage statistics) and stores contact form submissions (name, email, institution, role, message) in Google Firebase Firestore (EU region) to answer your enquiry. Fonts are loaded from Google Fonts.

2.8 Taking part through a course link

A course leader on the Team plan can share lessons through a link. Participants need no account and only enter a name of their choosing. The transcript and the review of such a lesson belong to the course leader's organization; the course leader and the admins of that organization can read them. Otherwise 2.2 to 2.4 apply: the microphone audio is sent to ElevenLabs to run the lesson and is not kept by us as a recording; the transcript stays until the organization deletes it. By starting the lesson you consent to this processing. Participants see their review at the end of the lesson if the course leader allows it. For deletion or access requests contact the course leader or us at classvroom@ateo.ch.

If the course leader invites you by e-mail, we store your address and the name they give with it at their organization, so they can see whether you completed the lesson and remind you. We send only the course leader's invitation and reminders to this address. When the course leader deletes the link, we delete the stored addresses too; the lessons stay with the organization until it deletes them.

2.9 Help assistant in the dashboard

When you ask the help assistant («Ask») a question, we send your question, the earlier messages of this conversation and some details of your account (plan, role, minutes left, the page you are on, language) to Anthropic PBC (USA) so the language model can answer. We keep the question and the answer for 90 days to improve the help and delete them afterwards. We do not send the contents of your lessons for this.

2.10 Feedback

Feedback you send through «Give feedback» is stored with your account details, your plan, the page, browser and app version, so we can answer you and improve ClassVRoom.

3. Service providers

Providers outside Switzerland and the EU process data on the basis of the EU-US Data Privacy Framework or standard contractual clauses.

4. Retention

Account data is kept as long as your account exists. Transcripts and reviews are kept until you delete them or your account. If you delete your account while other members stay in your organization, we delete the transcripts and reviews of your lessons; date, duration and minutes stay with the organization without reference to you, so its usage stays correct. Your course links and the lessons of your course participants go to an admin of the organization. Usage and billing records are kept for the legally required period (10 years for accounting records in Switzerland). Diagnostic logs are deleted after 14 days. If you delete your account, we keep a non-reversible fingerprint of your e-mail address and the number of free minutes used for 12 months, so that the free allowance cannot be claimed more than once.

5. Your rights

You can see, change, download and delete your data yourself: in the web app under Account you can change your name and language, download all your data as a file and delete your account including all transcripts and reviews. Under the Swiss Federal Act on Data Protection and, where it applies, the GDPR you also have the right to information, correction, deletion, restriction, data portability and to withdraw consent at any time, and to complain to a supervisory authority. 6. Children

ClassVRoom is a tool for teachers and student teachers. The AI pupils are software; no real children take part in lessons. Accounts are intended for adults.

7. Cookies and browser storage

The web app and the classroom application store your sign-in and your settings in your browser's local storage. These are strictly necessary. The website uses analytics cookies from Firebase Analytics; no advertising cookies are used.

We will update this policy when our processing changes and show the date of the latest version at the top.
